Sales & Admin Assistant

The Role

We are looking for an organized and communicative Sales & Admin Assistant based in Guimarães to join our team. In this role, you will be the bridge between our technology and our clients, managing software license sales while also ensuring our local office runs smoothly.

You do not need to be an architect or engineer, but you must be tech-savvy and willing to learn about the BIM (Building Information Modeling) industry.

Location: Guimarães, Portugal (On-site) Type: Full-time

 

Responsibilities:

  • Lead Management: Respond to inbound sales inquiries regarding our plugins and custom development services.
  • Quoting & Invoicing: Prepare commercial proposals, quotes, and process invoices for international clients.
  • License Management: Assist clients with license activation, renewals, and basic troubleshooting regarding their subscriptions.
  • Client Communication: Act as the first point of contact for non-technical queries via email and phone.
  • Other tasks related to office management, financial admin and team support are also part of the role.

 

What we are looking for:

  • Experience: 1–3 years of experience in administrative, sales support, and/or customer success roles.
  • Location: You must reside in or near Guimarães, Portugal.
  • Languages:
    • Fluent English is mandatory as 95% of our business is international.
    • Native/Fluent Portuguese is required for local admin.
  • Tech-Savvy: Comfortable learning new software quickly.
  • Soft Skills: Highly organized, detail-oriented, and capable of working autonomously.

 

Nice to have (but not required):

  • Knowledge of the AEC industry, Revit, or BIM.
  • Experience working in a SaaS (Software as a Service) or IT company.
  • Fluency in French and/or Spanish.
  • Experience with CRM platforms and invoicing software.
